What to Document First
Only enter areas that are safe. From a safe location, build a simple room-by-room record before anything is discarded or permanently altered.
- Wide and close photos: Capture the full room, the apparent source and close views of visible damage.
- Short video: Slowly record the affected area and narrate the date, room and visible conditions.
- Damaged-item list: Note the item, brand, model or serial number when visible, approximate age and where it was located.
- Receipts and expenses: Save invoices and receipts for approved emergency work, temporary protection and other claim-related costs.
Do not handle contaminated materials, enter an unsafe structure or approach wet electrical equipment just to get a photo.

What Restoration Records May Include
The exact record depends on the loss and approved scope. A restoration file may include:

- Moisture documentation: Readings or diagrams used to help define and monitor the drying plan when water is involved.

- Capture the initial condition. Photograph and video visible damage before cleanup, emergency removal or temporary repairs change the scene.
- Keep one claim folder. Store the claim number, contact names, photos, item list, estimates, authorizations, invoices and receipts together.
- Track changes. Add new damage, approved scope changes and completed work to the same record so the file stays understandable.
Before Discarding Damaged Property
Ask the insurer or adjuster what it wants documented and whether an item should be retained for inspection. When an item must be removed for health or safety reasons, photograph it first when safe and record identifying information. Keep samples or items only when doing so is safe and the insurer requests it.
